How the Bookkeeping Service Works

You upload documents when they arrive. We keep the books, send you a draft before each deadline and file once you are satisfied.

From first contact to first filing

The questionnaire

A few questions about your situation. At the end you see the returns that apply to you and the fee. Nothing is charged.

The engagement letter

You receive it by email, in English and Spanish. It lists exactly which returns we file for you, and the authority to do so. You sign and send it back.

Your folder

A private folder is created for you, organised by year, quarter and tax. You get a link for uploading documents from a phone or a computer.

The welcome message

It tells you what to send, when, and what happens next, with the first deadline already marked.

What happens before each deadline

Who does what

Pick a stage of the quarter

You upload. Invoices issued, invoices received, bank or platform statements. Photographs are fine. Documents can also be sent by email, and they are filed in the right place.

We read and record. Each document is read, classified and entered. Foreign-currency invoices get their exchange rate. If something is unclear, such as an invoice in someone else's name or a cost that may not be deductible, you receive a specific question, not a general request for "more information".

You get a draft. The figures for the period, in English, with what is payable and why. You have three working days to raise anything.

We file. Electronically, under the authority in your engagement letter. The filed return and proof of payment go into your folder and you are told it is done.

You are reminded. Ahead of each deadline, and again if documents are missing. Nobody has to remember dates.

What you can do in the client area

  • Issue invoices. The self-employed can issue their invoices from their client area: numbered correctly, with the right VAT treatment for the customer's country, sent to you as a PDF and recorded automatically.
  • The monthly LLC invoice. Owners of a US LLC enter the LLC's income and expenses for the month, and the invoice for the result is issued for them.
  • Your documents. Every return filed and every receipt, kept by year.

What stays with a person

Reading documents and preparing figures is assisted by software. Decisions are not: anything that involves a choice of tax position, an unusual document or a deadline at risk is reviewed by a person before it is filed, and every engagement is under the responsibility of a practising lawyer.

Confidentiality and your documents

Documents are held in the firm's own storage and used only to prepare your returns. The firm is bound by professional secrecy as a law firm and by European data protection rules. You can ask for your documents back, or for their deletion once the legal retention periods have passed, at any time.

Frequently asked questions

What if I forget to upload something?
You are reminded before the deadline. A document that arrives late goes into the next period, and where it changes a return already filed we tell you what the options are.
Can my partner or assistant upload for me?
Yes. The upload link can be shared with whoever handles your paperwork.
In what language do you write to me?
In English or Spanish, as you prefer.
